How we handle your company's data, your technicians' locations and your customers' service history.

01Who this policy covers

This policy explains how we handle information when you visit this website, sign up for a trial, or use the platform to run field service work. It covers three groups of people: the service companies that subscribe (our customers), their staff and technicians who use the office board and the Technician App, and the end customers whose equipment is serviced.

For the jobs, units and end customer records you store on the platform, your company decides what is collected and why. We process that information on your behalf and only to provide the service.

02Information we collect

  • Account details: name, work email, company name, role, equipment types serviced, number of technicians and cities covered, as entered on the signup or contact forms.
  • Job and service data: jobs, schedules, checklists, readings, parts used, service reports, AMC contracts and invoices created by your team.
  • End customer records: names, addresses, contact details, unit details and service history that your team adds or imports.
  • Photos and signatures captured in the Technician App as part of a job.
  • Technician location while the technician is on shift and the app is in use.
  • Device and usage data such as app version, device type, crash logs and pages visited, used to keep the service reliable.

03Technician location

Location is collected only during working hours set by your company, and only to plan routes, suggest the nearest technician and send arrival times to end customers. Location collection stops when the technician ends their shift or signs out.

Technicians can see in the app when location sharing is on. Location history is kept for 90 days for route and timesheet review, then deleted unless your company sets a shorter period.

04How we use information

  • To run the platform: dispatch, routing, technician apps, reports, AMC reminders, stock and billing.
  • To produce AI suggestions such as best-match technicians and repeat-fault predictions. These are suggestions for your team, not automatic decisions about people.
  • To send service messages to end customers on your behalf, such as visit confirmations, ETAs and service reports.
  • To set up your account, send login details and provide onboarding and support.
  • To keep the service secure, prevent misuse and fix problems.

We do not sell personal information. We do not use your end customer records to market to them.

05Payments

Payments collected through the Technician App are processed by licensed payment partners. Card and bank details are entered on the partner's secure screens and are not stored on our servers or on the technician's phone. We receive the payment status and reference so the job and invoice can be marked as paid.

06Sharing with service providers

We use carefully chosen providers for hosting, email delivery, messaging (including WhatsApp and SMS), maps and payments. They receive only what they need to perform their part of the service and are bound by confidentiality and data protection terms.

We may disclose information if required by law or to protect the safety of people or the service, and will tell the affected company where the law allows.

07Data ownership and export

Customer details, unit records and service history belong to the subscribing company. Admins can export their data at any time in spreadsheet and PDF formats.

When a subscription ends, data is kept for 60 days so it can be exported or the account restored, and is then deleted from active systems. Backups are overwritten within a further 30 days.

08Security

Data is encrypted in transit and at rest. Access inside a company account is controlled by roles set by the admin, so technicians only see their own jobs and the units assigned to them. Staff access on our side is limited to what is needed to support you.

09Your choices and rights

You can ask to access, correct or delete personal information we hold about you. Technicians and end customers should first contact the service company that holds their records, as that company controls them. We will help the company respond.

You can unsubscribe from product news at any time using the link in the email. Service messages about your account will still be sent.

10Cookies

This website uses only the cookies needed for it to work, such as a session cookie for the security check on our forms. The platform uses cookies to keep you signed in.

11Changes to this policy

If we make a significant change, we will tell account admins by email before it takes effect.
